Privacy Policy

1. Information We Collect

We collect information necessary to provide our vehicle intake and communication services:

  • Contact information: phone numbers, names, email addresses
  • Vehicle information: year, make, model, body type, reported issues
  • Communication content: SMS messages exchanged through the platform
  • Media: photos and images uploaded by customers
  • Usage data: dashboard interactions, timestamps, request status changes

2. How We Use Your Information

  • Facilitating SMS conversations between customers and shops
  • Powering AI-assisted vehicle intake conversations
  • Generating structured service requests for shop dashboards
  • Sending automated communications (missed call follow-ups, confirmations)
  • Improving our AI models and service quality

3. AI Processing

Conversation content is processed by OpenAI's language models to extract vehicle details, identify issues, and generate responses. We do not use your conversations to train third-party AI models. AI processing is subject to OpenAI's data usage policies. The AI is designed with guardrails to prevent collecting sensitive personal information beyond what is necessary for vehicle service.

4. Third-Party Services

We use the following third-party services to operate the platform:

  • Amazon Web Services: infrastructure, database, SMS delivery, media storage
  • OpenAI: AI conversation processing

Each provider processes data according to their own privacy policies and data processing agreements.

5. Data Retention

  • Conversation data: retained for 12 months after last activity
  • Vehicle request data: retained for the duration of the shop's account
  • Customer photos: retained for 90 days, then automatically deleted
  • Account data: retained for 30 days after account closure

6. Data Security

We implement industry-standard security measures including encryption at rest and in transit, VPC network isolation, IAM least-privilege access controls, and regular security reviews. All data is stored in AWS us-east-1 region.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Opt out of SMS communications by replying STOP
  • Request a copy of your data in a portable format

California residents have additional rights under the CCPA, including the right to know what data is collected and the right to non-discrimination for exercising privacy rights.
